Minutes of a meeting of the Planning and Conservation Committee held on
Thursday 5th June 2008in the Council Office at 7:30pm
PRESENT:Mr. C Jones (Chairman), Mrs. J Gale, Mr. C Slaughter, Mr. S Herrett, Mr. I Robinson, Mr. C Thompson, Mr. H Murphy and the Assistant Clerk Mrs. L Coney.
1.Apologies Received from Mrs. Myers.
2.Declarations of Interest Mr. Robinson declared an interest in item 5.1 and stated he would leave the meeting when the application was being considered.
3.Minutes of meeting held 1st May 2008were agreed and signed.
4.Matters Arising
4.1Co-op.The assistant clerk reported that Bill Young had contacted her today via e-mail to inform the Parish Council that the Co-op were preparing a retrospective planning application and that their architect would conduct a site visit next week. The assistant clerk was asked to contact the architect to arrange for a member of the council to meet him when he undertakes his site visit to discuss the exposed pipework and also the look at the window graphics currently displayed. The assistant clerk was also asked to try and obtain a copy of the VDS on disk so that it can be loaded onto Grayshott.com. Developers and architects as well as householders can then be directed to the site to consult the VDS.
4.2Grove House.An e-mail update had been received from Cllr Cowper and circulated to councillors. In the e-mail Chris Murray has asked that if amended plans were submitted to show a service access retained with a short passageway to the existing Tesco store, would Cllr Cowper be happy for EHDC to grant permission with appropriate conditions. The assistant clerk was asked to write to Cllr Cowper and Chris Murray to request that the Parish Council be consulted on any amended plans before the application is determined.
4.3E-Planning Update. The assistant clerk reported that the parish would be receiving a new laptop, projector and screen from EHDC on a free lease, as well as some training in order to be able to use it. In addition, Daryl Phillips will be giving an update on the status of e-planning to the EHAPTC meeting next Wednesday which will be attended by Mr. Slaughter, Mr. Jones and Mrs Gale.
4.4Planning Policy. The assistant clerk had received an e-mail from Binsted PC suggesting that Grayshott might like to put their planning policy request as a resolution to the HALC Conference this year. Mr Slaughter had consulted Mr Fudge on this issue and it was decided to decline this suggestion and wait until responses had been received from other local parish councils before deciding the next course of action. The assistant clerk had so far received one reply to the letter she had sent to other local parishes. The reply was from Bentley Parish Council and gave full support to Grayshotts endeavour.

Mrs. Gale had noted the erection of a pair of large wooden gates at a property opposite Visual Assets along Headley Road. Councillors were asked to go and look at the gates to determine whether it is felt they should be subject to planning consent.
